Touchtone Commands for Conference Control

Easily control your conference and obtain access to information about your conference from your phone. Moderators and participants can perform tasks such as mute lines, lock a conference, drop lines, and dial out to other participants.

Moderator Portal with Web Management Tools

Utilize Vail's intuitive Moderator portal to manage conference calls via a browser on your PC or PDA. Additionally, one can set account preferences, manage contacts, and listen to recordings.

Conference Recording & Playback

Easily record your conference call for future playback via evoking a simple touch-tone or Web-based command. Utilize Vail's Moderator portal to download and play back the recording.

Conference Lobby

The conference lobby is an intermediary step in a pre-conference call flow where a moderator or participant is placed when a conference is waiting to start. While in the lobby, a user typically hears on hold music.

Conference Invitations / Notifications

Direct from the Web portal, easily email your participants about the time and date of your conference without needing to remember your conference dial-in and conference pin information.

Dial Out

Directly dial out to one or more domestic or international participants from your conference call. This will enable you to seamlessly talk to someone without disrupting your current conference call.

Email Alerts

Vail Conferencing sends the moderator an email alert as soon as the first participant joins your conference.

Entry/Exit Tones

Configure the experience of how your participants join your conference via moderator configurable conference entry/exit tones. You can choose from silence, tones, door, or name.

Individual Line Mute / Unmute

Provides participants and moderators with the ability to mute/unmute their own line, as well as the ability for the moderator to control any participant line in the conference via the Moderator Portal.

Conference Wide Mute / Unmute

Enables the moderator to mute/unmute the entire conference so that no one, but the moderator can be heard, which improves conference quality.

Listen Only

The Listen Only feature lets you simultaneously mute or unmute all lines in a conference except your own. When Listen Only is turned on, conference participants can't unmute themselves. You can set your conference preferences so that the Listen Only feature is always turned on when your conferences start.

Participant Count

From either the touch-tone interface or via the moderator portal, quickly access the number of participants in your conference call.

Rapid Conference

Moderators can now quickly and easily enter their conference. If the phone number from which the moderator is calling is recognized, a step will be eliminated in the moderator call flow.

Name Record

Name Record enables Vail Conferencing to prompt the moderator and all conference participants to speak their names before being placed into conference. The system can use these name recordings to support the Roll Call feature. If the Entry/Exit tone for a conference has been set to "Name," the system plays back the name recordings of participants as they enter or exit the conference. You as the moderator can start a Roll Call at any time during a conference. This causes the system to play back the name recordings of all participants that have arrived.

Roll Call

Roll call requests participants to record their name upon conference entry. At any time during a conference, a moderator can listen to the recording to determine if key participants have arrived, as well as allow moderators to rename the participant info in the moderator portal.

Conference Lock / Unlock

Once a conference has begun and all scheduled participants have arrived, the conference lock feature prevents unwanted participants from entering a conference call.

Conference Continuation

Allows the conference to continue with the moderator staying on the call. A typical conference would end when the moderator departs from a conference call.

Active Talker Identification

Highlights the line of the active talker within the moderator web interface to help determine who is speaking and not within the conference.

Account Codes

Account codes allow you to easily charge back your time to clients. By simply entering a moderator selected 4-digit number during a conference, end of month CDRs will be tagged with the appropriate conference information including number of participants, length of call, etc.

Security Codes

For added security purposes, you can set up a one-time security code for a single meet-me conference. When you have back-to-back conferences, using a security code prevents participants from accidentally joining the incorrect conference.

Customizable Moderator Preferences

Moderators have the flexibility to customize the standard experience of their conference calls including the lobby hold music, conference type, entry/exit tones, roll call, conference continue, etc.

Rename Moderator / Participant

During an active conference the web interface initially labels participants using the phone numbers from which they dialed in. You can replace these labels at any time.

Post-Conference Summary Emails

A post-conference call summary email is sent to the moderator that contains the activity within each conference call that includes number of participants, call length, and total minutes.
